What is a Joining Letter?

A joining letter is a short, formal letter written by an employee to the employer. It confirms three things: the employee is accepting the offer on the agreed terms, the employee is reporting for duty on a specific date, and the employee has attached any documents the employer asked for. Indian HR teams use the joining letter as the first signed record that the employee has officially started, which they need for payroll, ESI, PF enrolment, and insurance.

Do not confuse a joining letter with an offer letter. The offer letter is sent by the employer to the candidate. The joining letter is sent by the candidate back to the employer. They are two halves of the same handshake.

How to Write a Joining Letter: Step by Step

Follow these steps and your joining letter will be professional and complete.

1. Use a clean business letter format

Start with your name and address in the top right, then the date, then the employer's name and address on the left. Use formal fonts like Arial or Calibri at 11 or 12 point.

2. Add a clear subject line

Write "Subject: Joining Letter for the post of [Designation]" so HR can file it quickly.

3. Open with a polite salutation

Address the letter to the specific HR manager or director who signed your offer letter. "Dear Ms. Sharma" is better than "Dear Sir or Madam".

4. Reference the offer letter

Mention the offer letter number and date. This anchors your joining letter to the specific offer you are accepting.

5. State that you are accepting the offer

Use plain language: "I am pleased to accept the offer of employment for the position of [Designation] with [Company Name] on the terms mentioned in the offer letter."

6. Confirm your joining date

Mention the exact date you will report and the time and location if known. If the employer wants a remote joining, say so.

7. Attach the required documents

List the documents you are submitting: educational certificates, previous experience letters, PAN, Aadhaar, address proof, and passport-size photographs.

8. Close with thanks and a signature block

Do not use casual language or emojis. Do not attach the offer letter back unless specifically asked. Do not leave the joining date vague. Do not write a long personal narrative. And do not forget to sign the letter, either physically or digitally.
