A relieving letter is a formal document issued by an employer confirming that an employee has completed all handover formalities and is officially released from their duties. If you have ever searched for what is a relieving letter, the short answer is this: it is the employer's written acknowledgement that you no longer work there and that you left in good standing. For anyone moving to a new job in India, it is one of the most important pieces of paperwork you will ever collect.
Every HR team in India issues relieving letters at the point of exit. Every serious employer asks for one at the point of joining. That is why understanding the format, the legal weight, and the difference between a relieving letter and related documents like the experience letter is essential for both employees and HR professionals.
What is a Relieving Letter?
A relieving letter is a one-page document issued by an employer on the employee's last working day, or shortly after. It confirms three things: the employee has resigned, the resignation has been accepted, and the employee has been relieved of all duties after completing handover and notice period obligations.
It is written on company letterhead, signed by an authorised person (usually the HR head or a director), and addressed to the employee. The language is short and formal. It does not evaluate the employee's performance, it does not describe the role in detail, and it does not give any recommendation. It is a clean confirmation of release.
In India, most employers treat the relieving letter as proof that the employee exited cleanly, which is why the next employer almost always asks to see it before confirming the joining date.
Why Do You Need a Relieving Letter?
For employees, the relieving letter unlocks the next job. Most Indian companies, especially IT services firms, BPOs, banks, and MNCs, will not release a final joining date until they have seen your relieving letter from the previous employer. Background verification agencies use it to confirm your dates of employment, your last designation, and the fact that you are no longer on any other company's payroll.
For employers, issuing a relieving letter closes out the exit process cleanly. It protects the company from future disputes about whether the employee's notice period was served, whether dues were settled, and whether the exit was voluntary.
A relieving letter is also used when you apply for higher education abroad, when you open a salary account at a new bank, and when you file for visa processing that asks for previous employment proof.
Relieving Letter Format
A standard relieving letter in India contains these elements:
- Company letterhead with full registered name, address, and logo
- Reference number and date of issue
- Employee's full legal name, designation, and employee ID
- Date the employee joined the company
- Date of resignation and last working day
- A clear statement that the employee has been relieved of duties
- A line confirming that handover and dues are settled
- A good wishes closing line
- Authorised signatory's name, designation, and signature
The tone should stay formal and neutral. A relieving letter is not the place to mention performance issues, outstanding disputes, or subjective opinions. Those belong in separate internal records.

Relieving Letter vs Experience Letter
People often confuse the two. A relieving letter only confirms that you have been released from duties. An experience letter confirms your job title, the period of employment, and sometimes your responsibilities and performance. Most Indian employers issue both, often on the same day. Some progressive companies combine them into a single "experience cum relieving letter".
Legal Validity of a Digitally Signed Relieving Letter
Under Section 3A of the Information Technology Act, 2000, an electronically signed document carries the same legal weight as a physically signed one. This means a relieving letter eSigned with Aadhaar OTP is fully valid for background verification, visa applications, and any other purpose a printed copy would serve. The IT (Electronic Signature) Rules, 2015 specifically recognise Aadhaar OTP-based eSign as a valid signing technique.
Frequently Asked Questions
Is a relieving letter mandatory in India?
There is no specific law that forces an employer to issue a relieving letter, but refusing to issue one when the employee has served the notice period and completed handover can be challenged as unfair labour practice. In practice, every reputable Indian employer issues it.
Can I get my relieving letter before the last working day?
No. A relieving letter is dated on or after the last working day because it confirms that the exit is complete. You can, however, request a draft in advance so your new employer knows it is coming.
What if my employer refuses to give me a relieving letter?
Start with a written email request. If that fails, escalate to the HR head and then to the labour commissioner of your state. In most cases, a polite written follow-up resolves the issue.
Can a relieving letter be digitally signed?
Yes. An Aadhaar eSigned relieving letter is legally valid under Section 3A of the IT Act 2000 and is accepted by all major Indian employers and background verification agencies.
Is a relieving letter the same as a service certificate?
No. A service certificate is a broader document that details your full employment history and is often issued years after you have left. A relieving letter is issued at the time of exit.
