What is a Joining Letter?

A joining letter is the document exchanged on the day a new employee actually reports for work. It is distinct from the offer letter and the appointment letter. The offer letter proposes employment, the appointment letter confirms the engagement after acceptance, and the joining letter formally acknowledges that the candidate has reported and physically (or virtually) joined the organization on the stated date. In many Indian companies the joining letter is a two-way document: HR issues a note confirming joining, and the new employee counter-signs confirming their reporting.

In practice, the joining letter activates several internal processes. Payroll registers the employee effective from the joining date, the IT team triggers asset allocation, PF and ESI enrolment begins, and the probation clock starts ticking. Since both HR and the new employee typically acknowledge the joining, it is commonly a two-party document. An eSigned joining letter is admissible as electronic evidence under Section 63 of the Bharatiya Sakshya Adhiniyam, 2023, and is accepted by banks for salary account opening and by government departments for employment verification.
