An experience letter is a formal document issued by an employer that confirms a person worked at the company, the duration of that employment, and the role they held. If you have been asked for one by a recruiter, a university, a visa officer, or a bank, this guide explains what is inside an experience letter, why it matters in India, and how to get one or write one yourself.

What is an Experience Letter?

An experience letter, sometimes called a work experience certificate or service certificate, is a single-page formal letter issued on company letterhead. It states that a named individual was employed by the company from a specific joining date to a specific last working day, and it mentions the job title held at the time of leaving. Most experience letters also add a short line about the employee's conduct or responsibilities.

In India, the experience letter is one of the three core documents every outgoing employee collects, along with the relieving letter and the full and final settlement statement. Collectively these three documents form the official exit pack and are used repeatedly throughout the employee's career.

Why is an Experience Letter Important?

An experience letter does a lot of work on behalf of the employee long after they have left the company.

For job applications

New employers ask for experience letters from all previous jobs to verify the candidate's stated employment history. Background verification agencies cross-check the dates and designations on the letter against their own databases and sometimes call the HR department to confirm.

For visa processing

Consulates, especially for work visas to the United States, Canada, the United Kingdom, Germany, and Australia, require experience letters as proof of relevant work history. The letter must be on letterhead, signed, and dated.

For higher education applications

Universities, particularly for MBA and executive education programs, ask for experience letters as proof of industry experience. The letter is often a formal requirement of the application.

For bank loans and credit

Some Indian banks ask for experience letters when processing personal loans, home loans, and credit card applications, because stable employment history reduces their risk.

For salary negotiation

A clear experience letter showing a progression of roles strengthens the employee's negotiating position at the next job.

What is Inside an Experience Letter?

A standard experience letter in India contains these elements.

  1. Company letterhead with registered name and address
  2. Reference number and date of issue
  3. "To Whom It May Concern" opening
  4. Employee's full legal name
  5. Exact dates of employment
  6. Final designation at the time of leaving
  7. Brief description of responsibilities or conduct
  8. A good wishes closing
  9. Signature, name, and designation of the signing authority

What an Experience Letter is Not

An experience letter is not a recommendation letter. A recommendation letter is a personalised endorsement from a specific manager or leader, usually written for a specific application. An experience letter is generic and issued by HR.

An experience letter is not a relieving letter. A relieving letter only confirms that the employee has been released from duties on a specific date. An experience letter covers the full period of employment.

An experience letter is not a salary certificate. Salary details are kept out of experience letters and issued separately if needed.

Legal Status of Experience Letters in India

There is no single statute that mandates a fixed format, but the Shops and Establishments Acts of most Indian states require employers to issue a service certificate when an employee separates from the company. In practice, almost every Indian employer issues experience letters on request. If an employer refuses without a valid reason, the employee can escalate to the state labour commissioner.

A digitally signed experience letter is legally equivalent to a physically signed one under Section 3A of the Information Technology Act, 2000. Aadhaar OTP eSign is specifically recognised under the IT (Electronic Signature) Rules, 2015.
