A rent receipt format in Word is one of the most searched documents by salaried employees in India, especially in January and February when payroll teams ask for proof of rent paid. If you are claiming House Rent Allowance, or HRA, under Section 10(13A) of the Income Tax Act, your employer needs valid rent receipts to allow the exemption. This guide explains what a rent receipt is, what it must contain, how to fill the Word format correctly, and how to avoid problems during tax assessment.

What is a rent receipt?

A rent receipt is a written acknowledgement from a landlord that they have received rent from a tenant for a specific period. It is a simple document, usually one page or less, but it carries real tax value. Without it, a salaried employee cannot claim the HRA exemption on their payslip or income tax return.

Rent receipts are also used to prove rent payment in disputes with landlords, to support applications for visas and bank loans, and to serve as evidence of residence.

Who needs a rent receipt?

You need rent receipts if:

  • You receive HRA as part of your salary and want to claim the exemption under Section 10(13A).
  • You live in rented accommodation and want to claim rent paid under Section 80GG (for those without HRA).
  • Your employer or payroll team asks for proof of rent as part of investment declaration.
  • You need to prove rent payment in any legal, banking, or administrative context.

What must a rent receipt contain?

A valid rent receipt must contain the following details:

  1. Tenant's name. Full legal name of the person paying rent.
  2. Landlord's name. Full legal name of the person receiving rent.
  3. Landlord's PAN. Mandatory if your total rent in the financial year exceeds INR 1 lakh.
  4. Property address. Complete address of the rented premises.
  5. Rent amount. Monthly rent paid, in both figures and words.
  6. Period covered. Month or months for which the receipt is issued.
  7. Mode of payment. Cash, cheque, bank transfer, or UPI.
  8. Date of receipt. Date on which the landlord issued the receipt.
  9. Revenue stamp. A one rupee revenue stamp is required on rent receipts where cash payment exceeds INR 5,000 per receipt.
  10. Landlord's signature. Across the revenue stamp, if applicable.

How to fill the Word format correctly

Follow these steps to fill a rent receipt Word template without errors:

Step 1: Enter your landlord's details accurately

Use the exact name, address, and PAN as shown on the landlord's official documents. A mismatch between the receipt and the landlord's tax records can trigger queries from the Income Tax Department.

Step 2: Confirm the rent amount

Match the amount on the receipt with the rent you actually paid. If you pay rent by bank transfer, the bank statement should show the same amount on roughly the same date each month.

Step 3: State the period clearly

One receipt per month is the cleanest approach. Avoid clubbing multiple months on a single receipt unless your employer specifically allows quarterly or annual receipts. Always write the full month and year, for example "April 2026", not just "April".

Step 4: Mention the mode of payment

Employers increasingly prefer digital payments. If you pay by bank transfer or UPI, write the transaction reference. This adds authenticity and protects you from any dispute.

Step 5: Affix a revenue stamp where required

For cash rent payments above INR 5,000, a revenue stamp is required. Paste the stamp on the receipt and have the landlord sign across it.

Step 6: Get the landlord's signature

Without a signature, the receipt is incomplete. Digital signatures using Aadhaar eSign are also valid under Section 3A of the IT Act 2000.

HRA exemption rules under Section 10(13A)

Under Section 10(13A) of the Income Tax Act, the HRA exemption is the lowest of:

  1. The actual HRA received from the employer.
  2. 50 percent of basic salary for metro cities (Delhi, Mumbai, Kolkata, Chennai) or 40 percent for non metro cities.
  3. Actual rent paid minus 10 percent of basic salary.

To claim the exemption, you must have rent receipts for the period claimed. If your total annual rent exceeds INR 1 lakh, you must also provide your landlord's PAN. If the landlord does not have a PAN, a declaration from the landlord is acceptable in most cases.

Common mistakes to avoid

  • Missing PAN. If your annual rent exceeds INR 1 lakh and the receipt has no PAN, your exemption may be denied.
  • Round figure cash payments every month. Payroll and tax teams sometimes flag receipts that look suspiciously identical.
  • Receipts without a signature. A signed receipt is the bare minimum.
  • Address mismatches. The property address on the receipt must match your rental agreement and any utility bills in your name.
  • No revenue stamp on large cash payments. Required by the Indian Stamp Act.

Rent receipt vs rental agreement

A rent receipt proves payment for a specific period. A rental agreement, also called a lease deed or leave and license agreement, is the underlying contract between landlord and tenant. Both are useful. The receipt is the day to day proof, while the agreement is the legal foundation of the tenancy.

Can I use a Word template for rent receipts?

Yes. A clean Word or Google Docs template is perfectly acceptable as long as it contains all the required details and is signed by the landlord.

Do I need a rent receipt every month?

For HRA claims, one receipt per month is the safest practice. Some employers accept quarterly or annual receipts, but this varies by policy.

Is a digital rent receipt valid?

Yes. A signed PDF or an Aadhaar eSigned receipt carries the same legal value as a paper receipt. Many employers now accept emailed receipts.

What if my landlord refuses to give a receipt?

You can prove rent payment using bank statements showing the transfer, combined with the rental agreement. However, most employers still ask for a signed receipt. Try to persuade the landlord to provide one.

Is a revenue stamp mandatory?

A revenue stamp is mandatory when the rent is paid in cash and the amount per receipt is above INR 5,000. It is not required for bank transfers.
