What is an Experience Letter?

An experience letter, also called a work experience certificate, is a formal document issued by an employer on company letterhead, confirming the period of employment, the job title held, and usually a short line about conduct. Here are the steps a professionally drafted experience letter follows.

1. Start with the company letterhead

Use your official letterhead with the registered name, address, CIN, and logo. If you are a newer company without printed letterhead, build a clean PDF header with the same elements.

2. Add a reference number and date

A reference number (e.g., HR/EXP/2026/0047) lets your HR team retrieve the letter later, and the issue date must be on or after the employee's last working day.

3. Use "To Whom It May Concern" as the recipient

This is the most common opening in India because experience letters are shown to multiple unknown future readers. Skip addressing it to a specific person.

4. State the employee's full legal name

Use the name exactly as it appears on your payroll records and on the employee's Aadhaar or PAN, because background verification teams cross-check spellings.

5. Mention the employment period

Write out the exact joining date and last working day in "date month year" format (e.g., 14 June 2022 to 31 March 2026). Do not leave the dates as "three years".

6. State the final designation

Mention the role the employee held on their last working day. If the employee was promoted during their tenure, you can add a sentence noting the progression.

7. Add one or two lines about responsibilities or conduct

Keep this short and neutral. Words like "diligent", "sincere", and "hardworking" are safe. Avoid numeric achievements unless they are verifiable and already publicly shared.

8. Close with good wishes

A line like "We wish him the very best in his future endeavours" is standard.

9. Sign with name, designation, and contact

The signing authority should be the HR head, the founder, or a director. Include a contact line so a background verification team can reach out.

Avoid words that sound like criticism ("average", "satisfactory", "acceptable"). Stick with grounded, neutral praise. This keeps the letter credible and protects both the employee and the company.

There is no specific Indian statute that mandates the exact format of an experience letter, but the Shops and Establishments Acts of most Indian states require employers to issue some form of service certificate when an employee leaves. If the exit was involuntary or contested, consult your legal team before writing subjective commentary. A plain date and designation certificate is safer in such cases.
